2. NVIDIA Inception: startup access, not a blank travel cheque

NVIDIA Inception is a free programme for eligible technology startups, with no membership fee or equity requirement. Its benefits centre on technology, business development and connections across NVIDIA's startup and investor ecosystem.

That can create conference value when NVIDIA offers member opportunities around GTC or another event, but membership does not make every trip free. I would join for the wider startup benefits, then verify the current event page and member portal before counting on a pass, pitch slot or discount.

3. AWS Activate: use credits to protect your event budget

AWS Activate offers eligible startups cloud credits and technical support. Self-funded companies can investigate the Founders route, while startups connected to an approved provider can assess the Portfolio route and its organisation-specific application requirements.

I would classify this as indirect support. If credits reduce your infrastructure spending, you may preserve cash for a strategically important conference, but AWS Activate is not automatically a registration or travel grant. Keep those two budget lines separate.

4. Google for Startups Cloud Program: valuable, but spend-restricted

The Google for Startups Cloud Program advertises substantial cloud credits for eligible companies, with an enhanced offer for qualifying AI-first startups. Training, technical guidance and connections across the startup ecosystem may also be useful as your product matures.

The restriction is the point: cloud credits pay for eligible cloud usage, not your train to an AI summit. I would use the programme to lower development costs, then apply separately to the event for startup pricing, a pitch competition or exhibition support.

5. Microsoft for Startups: technical benefits before conference benefits

Microsoft for Startups provides eligible companies with startup credits and technical resources, with the available offer depending on the application route and company progress. Investor-network referrals can also affect the benefits for which a startup may qualify.

I would not describe those credits as conference sponsorship. Ask separately whether a relevant Microsoft team, accelerator partner or event has a current founder programme, and request written confirmation of anything that covers registration, travel or exhibition costs.

If you organise an AI conference, sell an outcome

Event organisers should not approach a technology company with a generic request to put its logo on a banner. Start with the audience the company wants to reach and the action it wants that audience to take.

A useful package might include a developer workshop, startup challenge, technical stage, recruitment session or responsible-AI roundtable. State the attendee profile, expected participation, deliverables, price and reporting method; vague promises of visibility make the sponsor carry all the risk.

Ask whether funding is paid upfront or reimbursed, and identify excluded costs. A free ticket can still leave you with the most expensive parts of the trip.

Students and researchers should begin with conference travel grants, university funding and targeted scholarship programmes. Early-stage founders should combine a relevant startup ecosystem with the event's own startup pass, competition or demo opportunity.

Established startups should ask technology partners about joint demonstrations or customer-facing sessions, while employees should first investigate their employer's learning budget. Organisers should contact the business unit whose customers match the event, not send the same deck to every large technology brand.
